How to convert a PST file to PDF
- Select or drop your PST, OST, MSG, EML or MBOX file. In classic Outlook for Windows you can save a mailbox as a PST with File > Open & Export > Import/Export > Export to a file. New Outlook and Outlook on the web cannot export a PST.
- Choose the folders, a date range if you need one, and the order.
- Choose one combined PDF, one PDF per email, or one PDF per folder.
- Select Convert to PDF. The PDF downloads straight to your device.
Attachments stay with their email
Each email is followed by its attachments, so a thread reads in order. A summary page at the front counts what happened to every attachment, and a report at the end names any attachment that was not shown as pages. Nothing is left out without saying so.
| Attachment | What you get in the PDF |
|---|---|
| The original pages, copied in as they are. Scripts, actions, media and embedded files are removed from the copied pages, layers that were hidden stay hidden, and the summary page says when anything was removed. Attachments over 2,000 pages are cut at 2,000 and the whole file is saved inside the PDF. | |
| Pictures (JPG, PNG, GIF, BMP, WebP) | A page with the picture. |
| Attached emails (EML, MSG) | Drawn as an email, with their own attachments. |
| Word, Excel and PowerPoint (DOCX, XLSX, PPTX) | Converted in your browser. The layout may differ from Microsoft Office, and each converted file says so. |
| Text, CSV, HTML and RTF | The text. |
| Anything else | A placeholder page with the file name, size, SHA-256 and the reason, and the original file saved inside the PDF. Open your PDF reader's attachments panel (the paperclip) to save it. |
Program files such as .exe, .js or macro-enabled Office files are listed but never saved inside the PDF, because many email filters block PDFs that carry them.
Private by design
The mailbox is read and the PDF is made inside your browser. There is no upload step and the page does not send your files anywhere. The only requests it makes are to pdf.redactninja.com for its own fonts and converter code. Pictures that an email links to on the internet are not downloaded. You can check that nothing is uploaded in your browser's developer tools.
Limits worth knowing
- A single attachment over 50 MB inside a PST is not read; its placeholder page says so.
- Older Office formats (.doc, .xls, .ppt), password-protected files and archives are saved inside the PDF rather than shown as pages.
- Converted Word, Excel and PowerPoint files are close to the original but not identical. PowerPoint slides are drawn as pictures.
- PST files protected by Windows Information Protection cannot be read in a browser.
- A very large mailbox is split into numbered PDFs so each one opens comfortably. A desktop computer with plenty of memory copes best with mailboxes of several hundred MB.
Questions
Does this redact anything?
No. It converts emails exactly as they are. If you are answering a subject access request and need redaction, use RedactNinja SAR.
Can I convert an OST file?
Yes. OST files use the same format as PST files.
Does it work without an internet connection?
Once the page has loaded, the conversion itself does not need the internet. Office conversion loads its parts from pdf.redactninja.com the first time it is needed.
Which browsers work?
Current versions of Chrome, Edge and Firefox on a desktop or laptop, and Safari 16.4 or later.
